GENERAL DESCRIPTION

USGBC is a Washington DC based nonprofit organization focused on proving better buildings equals better lives. USGBC established the LEED system to support this vision. LEED is the most widely used green building program in the world and is helping transform buildings, communities, and cities around the world. The Event Associate plays a critical role within the Conferences & Events Team assisting the execution of diverse education programming for USGBC’s global events portfolio. The role supports the full life cycle of the event planning process and is pivotal in assisting all aspects of event management, ranging from complex multi-day, multi-faceted live or virtual events to small, high-touch functions. This role also supports the registration and data analytics functions of the department as well as customer service and accounts payable/receivable tracking and policy maintenance.  The Event Associate must possess an inherent desire to learn how to support the sustainable and socially equitable implementation of events as these represent the cornerstone of all events produced at USGBC. USGBC offers equitable access to our global events to expand our reach into the green building community and minimize our carbon footprint through technology forward platforms, including live and on-demand digital productions, traditional in-person events and conferences, as well as the blended content experience of hybrid events. The success of this position requires the interest and resilience to thrive in this type of constantly evolving team environment.

What You’ll Be Doing:

  • Assist with preparing, organizing, modifying, and documenting event logistics plans including AV, F&B, staff travel, signage communication and other processes lead by the conference & events team.
  • Assist in researching and tracking expenses related to products, services, and venues in support of accurate event budget development and forecasting.
  • Assist in the support of USGBC board and council high touch events requiring exceptional professionalism and customer service.
  • Support the maintenance of in-office event policies and procedures, executing events (AV, F&B, housing) as assigned.
  • Assist with maintaining internal client and stakeholder working relations to execute event defined objectives.
  • Support the Request for Proposal (RFP) processes including requirements, circulation, tracking and participating in final reviews to advance informed and appropriate business decisions.
  • Assist in the preparation of pre-event communications such as event and staffing plans, collateral, securing digital assets, advancing the invitation process and coordinating shipping.
  • Provide direct support to registration processes and analytics, including building registration sites in Eventbrite, Cvent and other 3rd party platforms that support USGBC events.
  • Assist registration lead in maintaining policy documents and best practices.
  • Assist with department financial processes, establishing clarity around C&E’s roles and responsibilities and adherence to policies and procedures such as invoicing, accounts receivable/payable, AMEX reconciliation, accruals and support of monthly P&L maintenance.
  • Support maintenance of C&E’s events playbook, keeping it current and future proofed based on best practices specific to different event delivery methods (digital, in-person, hybrid, multi-day, webinar, etc.)
  • Support the program content team with speaker invitations and other deliverables, as needed.
  • Ensure that defined event sustainability practices and objectives are monitored, tracked, executed and reported for analysis.
  • Track and report on event metrics.
  • Assist and execute digital events and webinars, as assigned
  • Supports department financial operations, such as: Accruals tracking, corporate credit card tracking, Finance policy updates and historical data.

Requirements

What You Need to Bring:

  • Bachelor’s degree
  • 1-2 years applicable experience demonstrating progressive growth and success
  • Understanding of event planning practices with aptitude to demonstrate success supporting event logistics, registration, food and beverage, event technology solutions, audio visual support, experience design, and content and program development
  • Proficiency in the full Microsoft Office suite of programs – desktop and office 365 applications
  • Experience with cloud document sharing solutions such as Google, Dropbox, Sharepoint and Box
  • Familiarity with collaboration tools such as MS Teams, Slack and others
  • Familiarity with virtual conference solutions such as Zoom, Webex and others
  • Knowledge and understanding working in databases
  • Exceptional organization skills with meticulous note taking and follow-up skills
  • Ability to managing high-level engagements related to mission areas
  • Agility to perform effectively in a quick-paced, time-demanding, and sensitive environment
  • Knowledge of event marketing principals
  • Aptitude towards creativity, innovation and demonstrating initiative

Other Things We’d Like You to Bring:

  • Interest in pursuing aligned professional and industry certifications (e.g. CMP, LEED GA, ISSP, Digital Events Certificates and other relevant certifications)
  • Experience in event coordination or meeting planning preferred
  • Experience with sustainability or greening initiatives preferred
  • Excellent written and verbal communication skills
  • Strength as a strategic and tactical thinker

  • Full Time, permanent, salaried, benefits-eligible, exempt status
  • Location: 2101 L Street NW, Washington, DC
  • Hours: Monday through Friday, 9:00 am to 5:30 pm EST, 40 hours per week, including occasional evenings and weekends
